Proxy setup instructions:
Step 1: Needs to be done as the Executive/Administrator/Location/Resource
- Sign in to Zimbra and create a new email folder (ie: Call it "Meetings" or something similar). This will be the folder where meeting notifications will go to be shared with people managing this person/location/resources calendar.
- Right click on the newly created folder and choose 'Share Folder'. In the 'Share Properties' box enter the email address of the Assistant/Departmental Coordinator who will be managing this calendar, and choose 'Manager' from the 'Role' box. Click OK to close the box
- Click the 'Preferences' tab along the "Task Bar" across the top of Zimbra. From the sub-options choose 'Mail Filters', click '+ New Filter'
- You can put anything in the 'Filter Name:' field, we entered "Meetings"
- Choose 'any' from the first drop down so it should say "If any of the following conditions are met:"
- In the box below the first selection should say 'Body', the next box should be 'contains'(do NOT use 'matches exactly') and in the empty white box type The following is a new meeting request: then click the '+' at the end of the column, which should add a second argument.
- Repeat the above rule but in the text box enter The following meeting has been modified: and repeat again with The following meeting has been canceled:
- You should have three conditions in the top box now, in the bottom box, click on 'Keep in Inbox' and change it to 'File into folder', click the 'Browse...' button and select the folder you created at the beginning of this process. Click OK and the filter should now be created and active.
- Click the 'Calendar' tab along the "Task Bar" across the top of Zimbra. The user must share their default 'Calendar' calendar, right click on the calendar and choose 'Share Calendar'. Enter the email address of the person who will be managing this calendar and choose 'Manager' from the 'Role' box. Click Ok
- That should be all you need to do as a person who is having their calendar scheduled for them, or to setup a location/resource.
Step 2: Needs to be done as the person managing the Calendar/Location/Resource
- Sign into Zimbra, and accept the Folder and Calendar shares. You may want to suggest that they color code the people/resources at this time.
- The shared "Meetings" folder will show up in their folder list, they can rename the share name/color code that to their hearts content. If they manage multiple users/resources you might want the throw them all into a new "Managed Resources" folder so they are all in one spot because the folders are sorted Alphabetically and are not "special" and kept separate from other mail folders. You may even want to call the "Managed Resources" folder "-Managed Resources" or "zzManaged Folders" so that it always shows up at the top or bottom of their folder lists.
- Click the 'Calendar' tab along the "Task Bar" across the top of Zimbra. Show the user the shared calendar and how to turn it on and off.
- At this point you probably want to have somebody propose a meeting to the person/resource that the user is managing. When the meeting proposal comes in it will be redirected to the shared 'Meetings' folder. The user will get the standard 'Accept', 'Tenative' or 'Decline' buttons they would see if they were to receive a proposal themselves. The user can click the 'Accept', 'Tenative' or 'Decline' buttons and the meeting will be responded to from the correct calendar.
